Brandywood's General Policies and Procedures
1. Scheduling Visits: You can schedule visits anytime. Brandywood recommends at least one week's notice. Scheduling is on a first come/first service basis, but we do our best to accommodate your needs. You can schedule visits by phone, email or online through powerpetsitter.com. Since voicemail or e-mails are not 100% reliable, please make sure we speak personally or that the email is acknowledged by Brandywood. Please do not leave town without doing this! This is to ensure your pets' needs are carried out as intended.
2. Vaccinations: Under no circumstances does Brandywood service any pet that has any form of a contagious illness. This is for the safety of other clients, their pets and Brandywood staff. Brandywood requires that your pets have all necessary vaccinations and immunizations before service begins. If a Brandywood’s pet care provider is bitten or exposed to any disease or ailment received from your pet, that has not been properly or currently vaccinated, you are responsible for all costs and damages that are incurred.
You understand and agree that by leaving your pets in our care that we have relied on your representation that your pets have been vaccinated and are in good health. You agree to keep your pets current on all veterinarian recommended vaccinations as long as you are receiving services from Brandywood. You further acknowledge that any history or tendency by your pets toward straying, fighting, biting, destructive behavior, or property damage has been fully disclosed to Brandywood. You must provide documentation of current rabies vaccinations for all your pets.
3. Animal Behaviour: Animal behavior can be unpredictable at times. Brandywood does not accept responsibility or liability for animal behavior, normal or otherwise, which results in injury to your pets. Furthermore, if a Brandywood pet care provider is harmed or injured by your pets, you accept full responsibility for the cost of any necessary medical attention required by either the Brandywood pet care provider or the animals. We always encourage good behavior (phrase and treats) and discourage bad behavior (firm “NO” and redirection) but we are not animal trainers. Therefore, we are not responsible for any property damage done by your pets.
It is your sole responsibility to pet proof any areas in your home and on your property that your pets have access to.
Brandywood is not held liable for any cat that is allowed outdoors in the event of injury, illness, loss or death. For their safety, it is advised that they remain inside your home during your absence.
4. Animal Emergency: In the event of a medical emergency, pets are taken to their own veterinarian. If their veterinarian is not available or unable to see them in a timely manner, we take them to the closest veterinarian or Massachusetts Veterinary Referral Hospital at 20 Cabot St. Woburn MA, 01801 (781-932-5802).
You authorize Brandywood Pet Care to transport your pets to a veterinarian in the event of their illness or injury and authorize treatment deemed necessary by the veterinarian. In the event your pet is in need of hospitalization, Brandywood is authorized to leave your pet until they can be transported home. If at-home medication is prescribed, Brandywood has your permission to administer the medication as directed by the veterinarian. If Brandywood incurs any medical expenses for your pet’s treatment, you reimburse that amount plus the time ($28 per hour) it takes to handle the situation.
5. Household Emergency: In the event of a household emergency (plumbing leaks, fires, break-ins, etc.). Brandywood makes every effort to contact you or your emergency contact. If we cannot contact you or your emergency contact, we do our best to take care of the situation.
You authorize Brandywood Pet Care to employ the services of a professional (plumber, electrician, etc.) to handle any household emergency that may arise during your absence. If Brandywood incurs any expenses for these services, you reimburse that amount plus the time ($28 per hour) it takes to handle the situation.
6. Fences: Fenced-in yards are wonderful play spaces for pets, however, no fence system is totally secure for your pet’s safety. Brandywood does not accept responsibility or liability for any client’s pet that escapes, becomes lost, or is injured (fatal or otherwise) when pets are left out or given access to a fenced-in area. This includes electronic, wood, metal or any other type of fence.
7. Leashes: All dogs must be on a leash during outdoor walks.
8. Pet and House Clean-up: Brandywood properly disposes of pet waste. We do our best to find and clean up any accidents your pet may have during your absence. Brandywood is not responsible for carpet/flooring stains created by your pets. We request that you provide plastic bags, towels, cleaning products, paper towels, trash bags, and indicate where you would like the waste to be disposed.
9. Keys:
- Two working copies of your house keys must be provided before start of service. If you live in a gated community, you must provide a gate card, remote control or appropriate access codes.
- If you are not already doing so, consider letting Brandywood retain your house key. In the event of an unexpected trip, you’ll be glad you did. Keys are kept in a secured locked system and are coded for client’s confidentiality.
- Please check the key you provide Brandywood Pet Care. If we are unable to get into your home should keys become unusable, lock malfunctions, client fails to leave a key or to leave door unlocked or for any other reasons beyond Brandywood’s control, there is a $10 fee for the trip to your home.
10. Payment: Brandywood only accepts checks at this time. Payments must be mailed to the office. Do not leave payment for your pet care provider. All invoices are emailed to you through QuickBooks online.
- Pet Sitting Visits: Payment is due within 14 days after completion of service.
- Regular Dog Walking and Bathroom Break Visits: Brandywood bills by the month. Your payment for each month is due by the 15th of the following month. Example) Your payment for any visits we made in the month of January would be due by February 15th.
You are charged a $30 fee for any returned checks.
You are charged a $10 fee for every 30 days past the due date for all late payments.
11. Updates: Please provide Brandywood with any changes regarding your pets’ care and other pertinent information.

Brandywood's Policies and Procedures Specific to Pet Sitting
1. Standard Time of Visits:
Pet Sitting Visit:
- Morning visits are between 6am-10am.
- Afternoon visits are between 10am-4pm.
- Evening visits are between 4pm-8pm.
- Late visits are between 8pm-10pm.
- Overnight stays are from 9pm-6am.
Brandywood does our best to visit at the requested times as closely as possible. However, during busy seasons or if an unforeseen situation arises, the times may be adjusted. We usually need a 2-3 hour window.
There is an additional $10 fee for any visit scheduled after 8pm.
2. Visit Details: Pet Sitting Visits: Are a standard of 25-30 minutes. During busy seasons, visits are 20-30 minutes. Visits include food and water. Brandywood takes your dogs outside for some exercise and the opportunity to relieve themselves. We scoop or change your cats litter boxes. Any extra time with your pets is spent playing and cuddling. J We administer certain medications, if necessary. We can bring in your mail/newspaper, water plants, turn on/off lights and open/close blinds. Brandywood leaves a detailed note for each visit that includes the day, date and time of visit.
Brandywood requires a minimum of 2 visits per day for dogs and 1 visit per day for cats. We do not do every other day visits. This is for the safety of your pets. If you have special circumstances, please call us to discuss your needs.
Brandywood asks that you leave for each trip:
- Detailed pet and household information.
- Itinerary with emergency contact information.
Name and number of any other persons not from Brandywood that will be visiting your home.
3. Confirmation Call (Prior to out-of-town departure): Brandywood strongly recommends you make a confirmation call or e-mail no less than two days before each departure in order to verify that all information (dates, contact numbers, etc.) are still correct.
4. Early Returns: Brandywood understands that your plans may change. We do not charge for visits scheduled after your return, when provided advance notice. If you return home early, please notify us immediately! If, however, you do not notify Brandywood of an early return and we make a trip and find you home, the regular visit charge applies.
5. Cancellations:
- Pet Sitting: Brandywood understands your plans may change and generally do not charge for cancellations when adequate notice is provided. However, if you cancel 24 hours or less prior to the time of the first visit, there is a $10 cancellation fee, payable before scheduling any future visits.
- Holidays: Please understand that Brandywood receives more requests for reservations than we can handle during the holidays. We may have turned away other clients in order to serve you during this busy season. If you cancel less than 7 days before any major holiday, we charge for half of the scheduled visits.
Major holidays include: New Year’s Eve, New Year’s Day, Easter, Memorial Day, Independence Day, Labor Day, Thanksgiving, Christmas Eve and Christmas Day.
6. Inclement Weather: Primarily severe storms, tornado/hurricane warnings, excessive snow/ice, unsafe driving conditions, etc. You entrust Brandywood to use our best judgment in caring for your pets and home if we are servicing you at the time the inclement weather occurs. We carry out your instructions to the best of our ability. Quality pet care and safety is our first concern. We ask you to provide us with the name and phone number of an emergency contact.
The inclement weather plan is as follows:
- Every effort is made to drive to your home
- The service schedule may be changed, interrupted, or altered due to circumstances.
- If it is not possible to drive safely to your home, your emergency contact is notified.
- We do our best to notified you that this contingency plan has been executed.
Please be sure to make arrangements to have your driveway and walkways plowed/shoveled. If we are unable to get into your driveway or house safely, then we are unable to care for your pets. You are charged a $10 fee for the trip to your home. We do not risk getting stuck in your driveway or injured due to snow and ice.
5. Unplanned fees: There is a travel charge of $10 as well as reimbursement (receipts are provided) if we have to restock depleted supplies. It is your responsibility to supply more than adequate amounts of food, litter, medications, and other needed items for proper care of your pets.

Brandywood’s Policies and Procedures Specific to Dog Walking Services:
1. Standard Time of Visits:
Dog Walking and Bathroom Breaks:
- Between 11am-3pm.
- Other times can be arranged if needed.
Brandywood does our best to visit at the requested times as closely as possible. However, during busy seasons or if an unforeseen situation arises, the times may be adjusted. We usually need a 2-3 hour window.
2. Visit Details:
Dog Walking Visits: Are a standard of 30 minutes. Visits include 20-25 minutes outside walking and/or playing depending on the weather. In extreme weather conditions, we spend time inside playing. We make sure your dogs have fresh water and a treat (with permission). We leave a detailed note on each visit. We can feed your dogs if needed.
Bathroom Breaks: Are a standard of 15 minutes. Visits include the opportunity for your dog to relieve themselves and few minutes of playtime. We make sure your dog has fresh water and a treat (with permission). We leave a detailed note on each visit.
3. Holidays: We do not provide dog walking services, unless you make prior arrangements, on the following holidays:
- New Year’s Day (January)
- Martin Luther King Jr. Day (January)
- President’s Day (February)
- Patriot’s Day (April)
- Memorial Day (May)
- Independence Day (July)
- Labor Day (September)
- Columbus Day (October)
- Veteran’s Day (November)
- Thanksgiving (November)
- Christmas (December)
If you need service on any of these holidays, it us your responsibility to contact the office and schedule service. We recommend at least one week’s notice to ensure we have a dog walker available.
There is an additional $10 fee for each visit on Memorial Day, Independence Day, Labor Day and Thanksgiving. There is an additional $20 visit for each visit on New Year’s Day, Christmas Eve (visits after 4pm) and Christmas Day.
4. Cancellations: Brandywood understands that things come up and you may find yourself at home unexpectedly (illness, emergency, etc.). If you notify us by 9am the morning of your scheduled visit, there is no charge for the visit. If you notify us after 9am or you forget to notify us, there is a $10 fee for the trip to your home.
